These terms cover ChartVoyant Appointment Reminders, the text messages a medical practice that uses ChartVoyant sends to its patients. ChartVoyant is software operated by Geach Technologies, LLC, of Cleveland, Tennessee; it sends the texts on your practice’s behalf. Every text begins with your practice’s name.
1. What the texts are for
Reminders before a scheduled appointment; replies when you confirm or ask to reschedule one; and occasional updates about a visit, such as a follow-up after a missed appointment or the status of an insurance authorization your practice requested. There is no marketing or promotional content, and the texts never include a diagnosis or other clinical detail.
2. How you sign up — only if you choose to
You opt in by ticking “Text me appointment reminders” when you create your patient portal account at portal.chartvoyant.com, or by telling your practice’s staff that you want texts. The box starts unticked. Texting is optional. Agreeing to it is not a condition of creating a portal account, of making any purchase, or of receiving care. Consent to texts is collected on its own, separately from email.
3. How often
Message frequency varies with your appointments. Most patients receive two reminders per scheduled appointment (for example, two days before and two hours before), plus a reply to each text you send, and an occasional visit or authorization update.
4. Cost
Message and data rates may apply, according to your wireless plan. Neither your practice nor ChartVoyant charges you for these texts.
5. Help
Reply HELP to any message for help. You can also call your practice, or email ChartVoyant at info@chartvoyant.com.
6. How to stop
Reply STOP to any message to opt out. STOPALL, UNSUBSCRIBE, CANCEL, END, and QUIT work too. You will receive one message confirming that you are unsubscribed, and no further texts after that. To start again, reply START, or ask your practice.
7. Carriers
Carriers are not liable for delayed or undelivered messages. Texts are sent to US mobile numbers on the major US wireless carriers; delivery is not guaranteed. Please call your practice about anything urgent — do not rely on a text.
8. Privacy
No mobile information will be shared with third parties/affiliates for marketing/promotional purposes. All the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.
Your mobile number and your text consent are part of your practice’s records and are used only to send the texts described here. How ChartVoyant handles information is in our Privacy Policy; your practice’s own Notice of Privacy Practices also applies.
9. Changes
We will post any change here and update the effective date above.
